Job Description

JOB PURPOSE
The Petrol Pump Manager is responsible for end-to-end management of the petrol pump and the in-house café. The role ensures smooth daily operations, strict adherence to BPCL guidelines and statutory regulations, high standards of health, safety, and hygiene, strong financial controls, and excellent customer service. The appointed manager will manage staff (including wage calculations), inventory, costs, and equipment, while remaining available for operational support and emergency handling, including during off-hours.

KPI (KEY PERFORMANCE INDICATOR)/ ACCOUNTABILITY OUTPUTS
ACCOUNTABILITY Coordination with BPCL
  • Oversee smooth day-to-day operations of the petrol pump.
  • Supervise fuel dispensing, billing, forecourt discipline, cleanliness, and housekeeping.
  • Ensure uninterrupted availability of fuel and lubricants.
  • Monitor fuel sales and ensure accuracy in billing.
  • Ensure daily reconciliation of cash, card, UPI, and electronic transactions.
  • Monitor inventory levels, conduct regular stock checks, and ensure timely replenishment.
  • Prepare and submit daily, weekly, and monthly sales, stock, and cash reports.
  • Control operational costs and prevent losses, pilferage, wastage, and discrepancies.
  • Ensure 100% adherence to safety, fire, and environmental norms across the forecourt.
ACCOUNTABILITY Coordination with BPCL
  • Ensure strict adherence to BPCL rules, regulations, SOPs, and statutory requirements.
  • Ensure zero pilferage of petrol, diesel, lubricants, and accessories through strong controls and audits.
  • Interact with BPCL officials for day-to-day coordination, inspections, audits, new product launches, and promotional initiatives.
  • Ensure compliance with legal metrology, fuel quality standards, environmental norms, and safety regulations.
ACCOUNTABILITY Staff Supervision, Safety & Training
  • Manage petrol pump attendants, supervisors, cashiers, and café staff, ensuring adequate staffing across shifts.
  • Prepare duty rosters, manage attendance, discipline, and performance monitoring.
  • Calculate staff wages, overtime, incentives, and loan/advance deductions accurately.
  • Train staff on BPCL SOPs, safety procedures, customer service standards, food hygiene, and POS systems.
  • Conduct performance appraisals and drive staff motivation and development.
  • Conduct routine safety inspections, audits, and mock drills.
ACCOUNTABILITY Café Operations & Supervision
  • Oversee day-to-day café operations including food preparation, service, billing, and cleanliness.
  • Ensure compliance with food safety, hygiene, and quality standards.
  • Manage café inventory including raw materials, consumables, and packaging items.
  • Monitor café sales, wastage, and service efficiency to improve profitability.
  • Ensure café equipment is properly used, maintained, and cleaned.
ACCOUNTABILITY Maintenance & Equipment Management
  • Oversee maintenance and repair of fuel pumps, underground tanks, generators, air units, POS systems, and safety equipment.
  • Ensure proper upkeep of café equipment such as coffee machines, refrigerators, ovens, exhaust systems, and water purifiers.
  • Coordinate with service providers for preventive maintenance and emergency repairs.
  • Ensure availability and functionality of fire extinguishers, spill kits, first-aid kits, and safety signage.
ACCOUNTABILITY Customer Service, Communication & Availability
  • Handle customer complaints, feedback, and escalations professionally.
  • Maintain high service quality and customer experience at the pump and café.
  • Maintain regular communication with senior management on performance, challenges, and compliance.
  • Remain available on calls and attend urgent operational or emergency issues during off-hours.

 

EXPERIENCE & QUALIFICATIONS
  • Graduate or Diploma in Business Administration, Retail Management, Hotel Management, or a related field (preferred).
  • 3–7 years of experience in petrol pump operations or retail operations; Any Fuel outlet experience is mandatory.
  • Experience in café/QSR or hospitality operations is an added advantage.
  • Strong exposure to safety standards, compliance requirements, audits, and reporting systems.

 

KNOWLEDGE & SKILLS
  • Strong understanding of fuel retail operations, inventory control, and equipment maintenance.
  • In-depth knowledge of petroleum industry SOPs, petroleum safety standards, legal metrology, and environmental regulations.
  • Working knowledge of food safety and hygiene standards.
  • Proficiency in financial management, daily reconciliations, cost control, and MIS reporting.
  • Experience with POS systems, stock management software, and digital payment platforms.
  • Strong customer handling, leadership, and people management skills.
  • Excellent problem-solving, multitasking, communication, and reporting abilities.
